EMU Office Space Procedures and Guidelines

These rules and expectations help keep the EMU safe, functional, and welcoming for everyone.

Furniture and Alterations

  • Upholstered furniture must meet fire code (flame-resistant with documentation). Old or unrated items should be disposed of by EMU Facilities.
  • Additional or new furniture requires EMU Facilities approval.
  • Provided furniture must remain in the office.
  • Painting, hanging artwork, and installing bulletin boards are done only by EMU Facilities staff.
  • Temporary partitions, office reconfigurations, or wall additions must be reviewed for fire and capacity compliance by submitting a Facilities Work Order.

Appliances and Electronics

  • Each office or center may have one refrigerator, one microwave, and one coffee or hot water pot with automatic shutoff.
  • Toasters, toaster ovens, grills, fuel-burning appliances, and non-approved space heaters are not allowed.
  • Power strips may not be plugged into each other and should not be overloaded.
  • Cords must be managed safely. Do not run them across floors or hang them from ceilings.

Decor, Signage, and Lighting

  • No scent diffusers or humidifiers (fire alarm hazard).
  • Do not cover windows or doors with paper, plastic, or permanent signage.
  • Temporary event signage may be displayed in office windows for up to two weeks.
  • All lighting must use LED bulbs. Turn off lamps and light strands when not in use.

Use of Space

  • Space is assigned only to active, recognized groups supporting the EMU mission. Underused space may be reassigned.
  • Post and maintain office hours.
  • Space may not be repurposed, used for storage, or used for sleeping.
  • Recycling must be managed by occupants. Use public bins nearby. No composting inside offices.
  • Community groups and guests may not hold office space or conduct business in EMU offices.
  • Respect posted building hours and closures.

Safety and Orderliness

  • Follow campus and city fire codes: always vacate during alarms and close (but do not lock) doors.
  • Keep floors clear for safe walking and cleaning.
  • Do not stack boxes or store items above ceilings.
  • Keep hallways, exits, and doors unobstructed. Do not prop open doors.
  • Chemicals, fuels, gas-powered equipment, and grills are prohibited.
  • Respect directions from EMU staff and security.

Access and Security

  • Lock offices when not in use.
  • Do not admit unauthorized people.
  • Do not block or prop exterior or emergency exits.
  • Guests are allowed only under the direction of the administrative unit.

Additional Regulations

  • Only service animals are permitted.
  • No bikes or motorized vehicles inside (except ADA accommodations or entry to the Bike Shop through exterior doors).
  • No open food or beverage containers. No alcohol, cannabis, or drugs.

Community Expectations

  • Be a good neighbor. Connect with nearby offices, participate in building events when possible, and resolve conflicts respectfully (with EMU support if needed).

Enforcement

  • First violation: written warning to office leadership.
  • Continued violations: remedial action, which may include removal of items, repainting at occupant’s expense, loss of space access, or revocation of office assignment.
